We are looking for a Guest Services Coordinator to join our Head Office based in Baker Street, London. The Guest Services Coordinator will play a key role in the day-to-day smooth running of our Head Office.

You will ensure that visitors to the Company’s premises are dealt with in an informed, efficient, pleasant and courteous manner and to provide an efficient guest services operation for the meeting suites ensuring the Brand image is reflected at all times.

Key Responsibilities include:

Reception Duties

  • Ensure that all guests are greeted in a courteous and professional manner delivering a memorable service
  • Responsibility for logging all guests in and out of the building using the Visitor Management System and issuing guest passes
  • Maintain security awareness at all times and to report any concerns to Security
  • Escort guests to their destination where appropriate
  • Working knowledge of the Disability Discrimination Act and services the Company offers to ensure a positively memorable experience for our disabled guests
  • Ensure that Guest arrival is processed in accordance with the procedures as set by the Visitor Management System

Guest Services Duties

  • Meet and Greet Service for the meeting suite
  • Responsible for the administration of all meeting and training rooms using the computerised booking system
  • Responsible for the ordering and coordination of all hospitality and providing refreshments for guests as required
  • Responsibility for ensuring all rooms are set up to the required configuration for each event
  • Ensure that front reception and 6th floor meeting rooms are kept tidy and maintained to a high standard at all times and that marketing material is displayed as appropriate
  • Book guest or temporary Car Parking spaces
  • Book out meeting room equipment and ensure these are returned

Working with Others

  • Effective liaison with Security, Post Room and Restaurant personnel to ensure smooth operation of the guest services
  • Effectively manage the computerised booking system, telephones, PC Presence software and Visitor Management Systems
  • Handle complaints with immediate action and follow up to satisfactory resolution, referring to Guest Services Manager where appropriate
  • Assist where necessary with statutory life safety testing
  • Adhere at all times to the Health and Safety regulations and policies

Experience Required:

  • Good interpersonal and organisational skills
  • Be well organised and methodical in approach with ability to prioritise workload
  • Customer service focused with outstanding guest service skills
  • Excellent communication skills – the ability to communicate professionally with staff and guests at all levels and the ability to deal with difficult issues
  • Team player who is willing to work as part of a small team in delivering outstanding guest services
  • Previous Reception or Hospitality experience
  • Experience of Visitor Management Systems
  • Experience of Meeting Booking Systems
  • Experience in producing systems reports
  • Good all round computer skills with good experience of Microsoft Office
