Reports to:  People Systems and Shared Services Manager

Location: Swindon Head Office

The role:- To provide a comprehensive first level People support and administrative service.  Provide commercial, pragmatic People support to all colleagues, challenging and influencing as appropriate.

Key accountabilities and decision ownership:

  • Manage the new starter process, issue contracts, create colleague files and send out welcome packs.
  • Obtain and provide references; employment, residential and financial.
  • Book candidates onto induction and pair with a buddy where relevant.
  • Manage the contractor process, maintaining the contractor/freelancer tracker, producing contractor service agreements where necessary and updating Finance on a monthly basis.
  • Deal with all contract changes, promotions and transfers - compile and issue contracts/service agreements, inductions and changes to the people system.
  • Keep employee files, relevant trackers and structure charts up to date to reflect new starters, leavers and changes.
  • Track internal promotions and produce a report on a weekly basis.
  • Process worked hours from across the Head Office locations ensuring accurate tracking of annual leave, long term sickness and other absence types.
  • Prepare documentation, invite and outcome correspondence for flexible working, maternity, disciplinary hearings etc.
  • Maintain the People incident log to ensure People cases are dealt with in a timely manner and ensuring People BPs are made aware of when follow up action is required.
  • Manage the Exit Interview process, in conjunction with the People Business Partners.
  • First point of contact for providing colleagues with general People advice and guidance on colleague matters.
  • Work with the People Analyst to advise of statistics and reporting to track absence and labour turnover that provides insight-driven People strategy.
  • Produce and update the Long Term Sick, Maternity and Live Warnings report and sending to Employee Relations on a monthly basis.
  • Support the People Systems and Shared Services Manager with continuous review of People processes and ways of working that continuously drive improved and efficient ways of working.
  • Develop professional and effective working relationships across the business.
